PTC Meeting Minutes April 14, 2010


Attending:  Samantha Waters, Crystal Bastarache, Amy Bailey, Nicole Partridge, Christine DesVergnes, Pam Beaulieu, Monique Seely, Brenda Wedgewood, Christine Ianazzo, Chris Dudley, Patricia Durgin

Next Meeting  5/12/10
March meeting minutes were approved.

School Store report:  The recycled Capri Sun pencil cases and pouches have been selling.  We will make about 25% profit on these.  Many pouches are being sent in and recycled in the cafeteria.  Mr. Dudley will send off the used pouches to be recycled this summer.  We will receive a check for these pouches. 

Treasurers report:  Balance on checking $23,618.00.  
Our CD with $2349.26 will roll over on 4/23/10.
Profit from the book fair is $1512.62.  We will be spending more out of our account toward the end of the year as we pay for field trips.  We are still looking at replacing the blue slide with another slide or another piece of equipment in its place.  We are also awaiting prices on a picnic table and new sand box. 


The book fair was a great success.  Some mention has been made to changing the location for next year. 

Mrs Wescott had some ideas for the playground. 
            Extra basketball hoop in the 4 square area
            Cones to make goals for soccer and other games
            Rubber bases for playing games like kickball
            Yoyos
            Pinnies for marking teams


Samantha Waters attended a PR meeting with the other PTC presidents in our school district.  The other PTC’s are asking their groups to donate $50 toward a newspaper
advertisement that will get the word out about an important information night.  This meeting will be to let voters know what is going on with the district and the towns before they vote on the school budget.  This meeting is not meant to sway voters but to inform them before voting.  This meeting will be open to all and questions will be taken and answered by our superintendent.  There will be babysitting and a movie and snacks for children. 
The PTC voted to give the $50.00 and donate our share of snacks for this meeting.  The date and time will be announced. 
It is important that we are informed and that we vote.

Amy Bailey, Nicole Partridge and Crystal Bastarache will be heading up teacher appreciation week.  Please see them if you would like to help. 

Mrs. Masalski will be heading up the spell-a-thon.  Please see her if you can help her with some last minute copying.  This event will happen right after April vacation.

Fifth grade recognition tentatively scheduled for Wednesday June 16th, 2010.  PTC purchases a gift for the class, usually a t-shirt for every student.  PTC also provides refreshments and sets up the area.  Christine DesVergnes has agreed to help out with this and is seeking volunteers to help with this event.

Mrs. DesVergnes also typed up an inventory list for the PTC closet.

A list of PTC ideas for possible sub-committees was handed out. 
Next month we will be electing new officers for the 2010-2011 school year.

Brenda Wedgewood was nominated for PTC treasurer.
Crystal Bastarache and Nicole Partridge were nominated for co-vice presidents
Nominations will still be taken next meeting.

Didtrict Vision Statement Survey

The power voting process for the District Vision Statement has been put online through surveymonkey.  Please go online before Friday, April 30th to complete this survey.  
It should only take about 5 minutes to complete.  If there are any stakeholders that you know of within the six communities of our district, we would like to make sure their voices are heard.  Please feel free to forward this link to them.

Officer Positions & Responsibilities

President
~Presides at all monthly meetings.
~Presides at all Executive Committee meetings.
~Assures adherence to all PTC By-laws.
~Coordinates PTC efforts and endeavors with Principal.
~Maintains an open line of communication between home, school and  community.
~Submits completed facility requests to Principal's Assistant for every PTC function at least ten days in advance of the event.
~Coordinates the work of the Officers and Committees of the Association.

Vice President
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Aids the President and performs the Presidents duties in his/her absence.
~Maintains an open line of communication with the President.
~Audits the Treasurers books in a timely manner and joins authorized signee on the account.

Recording Secretary
~Records the minutes of every monthly meeting.
~Records the minutes of every Executive Committee meeting.
~Reports the minutes of the previous meeting at each monthly meeting.
~Makes the minutes of every PTC Executive Committee meeting available to every member upon request.
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Maintains an open line of communication with the President and Vice President.

Corresponding Secretary
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Prepares and circulates notices and reminders of PTC related functions.
~Maintains and open line of communication with President and Vice President.

Treasurer
~Maintains accurate and timely accounts of PTC funds.
~Presents an update report at every monthly meeting.
~Makes updated, written reports of PTC funds available to PTC members upon request.
~Provides timely expenditures of PTC funds to accomplish approved activities and events.
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Maintains an open line of communication with the President.

School Store Coordinator
~Sets schedule for school store.
~Works with volunteer coordinator to ensure adequate volunteer coverage.
~Orders supplies for stock as needed.
~Make deposits of school store revenues to PTC accounts as needed.
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Maintains an open line of communication with the President.

Volunteer Coordinator 
~Provides a form for the recruitment of volunteers at the beginning of the school year.
~Compiles a list of volunteers.
~Recruits a reasonable number of volunteers for PTC functions.
~Works closely with the professional staff to ascertain an adequate number of volunteers are available to the school.
~Regularly attends all monthly meetings.
~Regularly attends all Executive Committee meetings.
~Maintains an open line of communication with the President.
